A window cleaning customer looks at the invoice the same afternoon they look through the glass. If the glass is clear, most of them pay without a second thought. The trouble starts when the number feels high for what they think was 'washing the windows' โ€” because what they picture is twelve windows, and what you cleaned was forty-six panes, inside and out, plus screens, plus tracks, on a second floor you reached with a ladder. A line that reads 'Window cleaning โ€” $385' leaves every part of that out, and the customer fills the gap with a guess.

Window cleaning also has its own quiet risks. Insulated glass units fail and fog between the panes whether or not anyone cleans them; old scratches and hard water etching only show up once the dirt is gone; screens that were already torn get noticed the day you hand them back. And on new construction, scraping paint and stucco off glass can scratch tempered panes that carry manufacturing debris. This template counts panes, splits outside from inside, keeps screens, tracks and treatments on their own lines, and records what the glass looked like before you touched it.

How window cleaning work is priced

Residential window cleaning is usually quoted per pane or per window, with exterior and interior priced separately โ€” exterior-only is a common, cheaper service. French or divided-lite windows are counted by the pane because each one is cleaned on its own. Screens, tracks and sills are add-ons priced per screen or per window. Height changes the price: second- and third-story windows, ladder work, water-fed pole work and anything that needs a lift or rope access cost more than ground-floor glass. Hard water stain removal, post-construction cleaning (paint, stucco, labels and adhesive) and skylights are billed separately, often by the pane or by the hour, because they take far longer than a maintenance clean. Most operators set a minimum job charge. Payment is normally due on completion. Commercial storefront work runs on routes โ€” weekly, every two weeks or monthly โ€” billed per visit or on a monthly statement at net 15 or net 30, and larger buildings are bid per building or per elevation with a purchase order.

What belongs on a window cleaning invoice

These are the lines this trade actually bills, the unit each is measured in, and what each one prevents. Every line below is optional โ€” use the ones that match the job.

Line itemBilled asWhy it belongs there
Exterior window cleaning โ€” 1st floor, 22 panes (incl. 2 French doors, 15 lites each counted)per paneCount panes, not windows, and say so. A French door with fifteen lites is fifteen panes of work, and a customer who sees the count understands why it cost more than a picture window.
Exterior window cleaning โ€” 2nd floor, 24 panes, ladder / water-fed poleper pane, upper-story ratePut upper floors on their own line with the access method. Height is the biggest single reason two houses with the same number of windows get different prices.
Interior window cleaning โ€” 46 panesper paneInterior on its own line lets a customer choose exterior-only next time instead of cancelling. It also shows the extra time spent inside, moving furniture and protecting floors.
Screens โ€” removed, washed and reinstalled, 23 screensper screenScreens are separate work. Count them, and note any already torn or bent before you take them down.
Tracks and sills โ€” detailed, 23 windowsper windowTrack cleaning is slow, dirty work that many customers assume is included. A separate line makes it a choice, not an argument.
Hard water stain treatment โ€” 6 panes, back elevation near sprinkler (improvement, etching may be permanent)per pane or per hourMineral deposits can etch glass. Say what result you promised: some stains lift completely, and some leave marks that no cleaning will remove.
Post-construction clean โ€” paint, stucco and label removal, 30 panes (tempered glass: no razor on marked panes)per pane or hourlyNew-construction glass takes far longer than a maintenance clean and carries a scratch risk. Bill it separately and record the method you used on tempered glass.
Pre-existing conditions noted before work: 2 failed seals (fogging between panes, kitchen), scratches (patio door), 1 torn screen โ€” photos on filerecord, $0The most useful $0 line on the ticket. Failed seals and old scratches become visible the moment the glass is clean โ€” write them down before you start.
Storefront route โ€” Main St. location, 14 panes in/out, visit 9/2, 9/16, 9/30, PO #4471per visit, billed monthlyRoute customers pay by location and period. List each visit date so a missed or rain-delayed visit is visible, and carry the PO.

Window Cleaning invoicing questions

Should I charge per pane or per window for window cleaning?

Either works, as long as the customer knows which one you use and the invoice shows the count. Per-pane pricing is fairer on houses with French, colonial or divided-lite windows, because each pane takes its own time; per-window pricing is simpler on houses with large single-pane or double-hung windows. Many cleaners quote per window for standard windows and per pane for divided lites and French doors. Whatever you choose, split exterior from interior and first floor from upper floors, and write the count on each line โ€” '2nd floor exterior, 24 panes' โ€” so the price can be checked. Rates vary a great deal by region, so build yours from your own time per pane, travel and equipment costs, and set a minimum job charge.

Should screens, tracks and sills be on a separate line?

Yes. Screen cleaning means taking each screen down, washing it, drying it and putting it back, and track and sill detailing is slow, dirty work โ€” together they can add a large share of the time on a house. Some cleaners include a quick wipe of sills in the base price and charge for full track detailing; others price everything separately. Either way, show it on the estimate and the invoice, count the screens, and note any that were already torn or bent before you removed them.

How do I protect myself from claims about scratches or fogged windows?

Inspect before you clean. Look for failed seals on insulated windows (fogging or condensation between the panes), existing scratches, chips, cracks, hard water etching and damaged screens, photograph them, and record them on the estimate and the invoice as a pre-existing conditions line. Failed seals are a manufacturing or age problem, not a cleaning problem, but a customer who first notices them on a freshly cleaned window will connect the two. On new construction, ask whether the glass is tempered and use the method the glass manufacturer recommends โ€” scraping tempered glass that carries fabricating debris can scratch it. Carry general liability insurance for damage you actually cause.

How should I invoice recurring storefront window cleaning?

Against a written route agreement that sets the location, what is cleaned (outside only, or in and out), the frequency and the price per visit. Then either invoice each visit or send one monthly statement that lists every visit date. Name the location on every invoice โ€” chains and property managers pay by site โ€” and carry their purchase order if they use one. Say what happens when a visit is moved for rain or skipped because the store was closed, so the monthly total is never a surprise. Card on file or net 15 to net 30 are the usual terms.

Cleaning & Exterior Care: templates that bill together

Interior and exterior cleaning crews bill the same way โ€” a count (rooms, panes, feet, square feet) with a stated minimum, add-ons as separate lines, and a note of what was already worn or damaged before the work started.
