An auto repair invoice is a service record as much as a bill. Year, make, model, VIN, and mileage at service belong on it, because that document follows the vehicle: it supports a warranty claim, it gets handed to the next buyer as evidence of maintenance, and it is what a manufacturer asks for when a customer claims a covered failure. A repair order without the VIN and the odometer reading is worth noticeably less to your customer than one with them, at zero extra cost to you.

Labor is billed from a book time, not a stopwatch, in most of the industry โ€” the flat-rate hours a job is allotted regardless of whether the technician beats or misses it. Customers who do not know this see three hours billed for a two-hour visit and assume padding. Saying 'labor โ€” 3.2 hrs (flat rate)' on the invoice defuses the entire conversation, and it is more honest than quietly presenting book time as clock time.

Shop name, address, phone, and any state repair-facility registration number; customer details; the vehicle's year, make, model, VIN, licence plate, and odometer reading at service; the customer's stated concern and your diagnostic finding; labor lines with hours and rate; parts itemized with OEM or aftermarket noted; shop supplies and disposal fees; declined or recommended work listed at $0.00; subtotal, tax, total; warranty terms; and payment terms. The VIN and odometer are what make it a service record rather than a receipt.

What is flat-rate labor and should it be on the invoice?

Flat rate means labor is billed from a published book time for the specific job on the specific vehicle, rather than the technician's actual clock time. It is the industry standard and it is fair in both directions โ€” the customer pays the same whether the technician is fast or slow, and beats the alternative of paying for another shop's inefficiency. Put '(flat rate)' next to the hours on the invoice. Customers object to what looks like invented hours, and one word removes the objection entirely.

Can I charge a shop supplies fee?

In most states yes, but the rules vary and several cap the amount or require it to be disclosed before the work begins. Shop supplies cover the real consumables no single repair can be assigned โ€” rags, cleaners, lubricants, fasteners, gloves โ€” and are commonly billed as a small percentage of labor with a cap. Disclose the fee on your estimate, show it as its own line on the invoice, and check your state's regulations, because this is one of the most commonly cited items in auto-repair consumer complaints.

Should I list work the customer declined?

Yes, always, at $0.00 with a clear description and the date. If a customer declines a recommended brake replacement and has a failure two months later, the line on that invoice is your documentation that the condition was identified and communicated. It also converts naturally into future business โ€” a declined-work list is the most qualified follow-up list a shop has, and the customer already has your written record of it in their glovebox.
