Garage door repair has a trust problem that honest techs pay for. The Better Business Bureau has warned homeowners about companies that advertise a cheap service call and then add parts and repairs at the door, and the garage door trade associations have warned that a customer with a broken spring is the easiest customer to overcharge. So when a customer reads your invoice, they are checking it against that story. A line that says 'spring replacement โ $_' tells them nothing they can check.
The good news is that garage door parts can be described exactly. A spring has a wire size, an inside diameter, a length, a wind direction and a cycle rating. Rollers and hinges can be counted. An opener has a brand and a model. This template puts each of those on its own line, separates the service call from the work, and records the safety test you ran before you left, so the invoice is something the customer can check rather than something they have to trust.
Most garage door companies charge a service call (also called a trip or diagnostic fee) to come out and find the problem, then price the repair separately. The repair is usually a flat price per job, such as a spring replacement, a cable replacement or putting a door back on its track, with parts listed by line. Springs are priced per spring, and on a two-spring door many techs recommend replacing both because they wear at the same rate; that is a recommendation the customer should be offered with the reason, not a line added without asking. Openers and new doors are quoted as installed jobs with the model on the invoice. Calls outside normal hours often carry an after-hours surcharge. Many companies credit the service call against a repair the customer approves. Residential jobs are usually paid on completion; builders, property managers and commercial accounts are commonly billed on net 15 or net 30.
These are the lines this trade actually bills, the unit each is measured in, and what each one prevents. Every line below is optional โ use the ones that match the job.
| Line item | Billed as | Why it belongs there |
|---|---|---|
| Service call โ door won't open, broken torsion spring found; 16ร7 steel double door | flat, per call | Name what you found and describe the door. The call-out pays for the trip and the diagnosis, and should not be blended into the repair. |
| Service call credited to approved repair | credit (negative line) | If you credit the service call when the customer approves the repair, show it as a minus line. A note at the bottom is easy to miss. |
| Torsion spring โ .250 wire, 2" ID, 32" long, left wind, 20,000-cycle, qty 2 | per spring | Give the full spec: wire size, inside diameter, length, wind and cycle rating. A spec can be looked up and compared. 'Spring โ $_' cannot. |
| Labor โ replace both springs, set tension, balance and lubricate door | flat per job | Say what the labor covered. If you replaced both springs on a two-spring door, the customer should already have agreed to it on the estimate. |
| Lift cables, 7 ft door, pair | per pair | Cables are usually replaced in pairs. Say so, and say why: frayed, rusted or snapped. |
| Nylon rollers, sealed bearing, qty 10 | per roller | Count them. A customer can count the rollers on their own door. |
| Opener โ LiftMaster 87504-267, belt drive, installed with 2 remotes and keypad | per unit, installed | Brand and model, and what came with it. A model number is the customer's way to check the price and your way to handle a warranty claim. |
| Safety reversal and photo-eye test after repair โ passed | record, $0 | A $0 line recording that the opener reversed on an obstruction and the photo eyes stopped the door. It is the most important thing you checked, and it should be on paper. |
| Recommended, not done: bottom seal worn (customer declined today) | record, $0 | Write down what you saw and the customer declined. It shows you didn't add it without asking, and it is the start of the next job. |
| Labor warranty โ 1 year on labor; springs and parts per manufacturer's warranty | record, $0 | State the warranty on the invoice. It separates a warranty call-back from a new service call. |

How to invoice for garage door repair โ springs, service calls, parts, openers and the safety test โThe full guide โ rates, payment terms, deposits, and what to do when the invoice goes unpaid.
Your business name, contact details and license number if your state or city issues one, the customer's details, an invoice number and date, and the service address. Then the door (size, material, brand) and the work as separate lines: the service call, each spring with its full spec, cables, rollers and hinges counted, any opener by brand and model, and the labor. End with the safety test result, taxes, the total, payment terms and the warranty.
With the full spec: torsion or extension, wire size, inside diameter, length, wind direction for torsion springs, cycle rating, and quantity. For example: 'Torsion spring โ .250 wire, 2" ID, 32" long, left wind, 20,000-cycle, qty 2.' The customer can look it up, and you have a record if the spring fails under warranty.
Many techs recommend it on a two-spring door, because both springs have done the same number of cycles and the second is likely to fail soon. It is a fair recommendation. Put it on the estimate with the reason and let the customer choose. If they choose one spring, write that down.
Yes. The service call covers the trip and the diagnosis; the repair is the work. Showing them apart answers the customer's first question. If you credit the service call against the repair, show the credit as a separate minus line.
Because it is the most important thing you checked. Automatic openers must reverse when they hit an obstruction, and a door that doesn't is dangerous. A $0 line recording that the reversal and photo-eye tests passed after your repair is a record for you and reassurance for the customer.
Service-call trades bill a diagnostic or trip fee, then parts and labor as separate lines โ and the dispute is almost always whether the first fee was credited against the repair.
