Built for gutter cleaners billing a two-story house, a guard-covered roofline and a fall service plan โ feet and stories on every line, downspouts and guards shown separately, and photo proof of work the customer can't see from the ground.

Gutter cleaning has a problem most trades don't: the customer can't see the work. They stand in the driveway, look up at a gutter that looks the same as it did this morning, and read an invoice that says 'Gutter cleaning โ $240.' What they don't see is 180 feet of gutter across two stories, a roof valley packed with wet leaves, four downspouts that had to be cleared, and guards that came off and went back on. If the invoice doesn't show it, they have to take your word for it.
Gutters also hide damage until someone gets up there. Hangers pull loose, seams and end caps leak, sections sag and hold water, and fascia boards rot behind the gutter. All of that was there before you arrived โ but the customer hears about it for the first time from you, on the day you send a bill. This template counts feet by story, puts downspouts, guards and debris removal on their own lines, keeps repairs separate from cleaning, and records what the gutters looked like before and after, with photos.
Residential gutter cleaning is usually priced by the linear foot of gutter, with a higher rate for second- and third-story runs, or as a flat price per house based on its size and height. Downspouts are often priced separately: flushing a clear downspout is part of many base prices, while clearing a packed downspout or an underground drain line is extra and not always successful. Homes with gutter guards cost more, because guards have to be removed, cleaned under and put back. Steep or high roofs, heavy tree cover and debris haul-away can each add to the price. Small repairs โ re-securing hangers, sealing seams, replacing an end cap or elbow โ are billed as their own lines with parts, ideally after the customer approves them. Most operators set a minimum job charge. Payment is normally due on completion. Many customers buy a spring and fall plan, billed per visit or prepaid for the year; property managers and HOAs buy by the building with a purchase order, often on net 30.
These are the lines this trade actually bills, the unit each is measured in, and what each one prevents. Every line below is optional โ use the ones that match the job.
| Line item | Billed as | Why it belongs there |
|---|---|---|
| Gutter cleaning โ 1-story runs, 96 linear ft, hand-cleaned, debris bagged and removed | per linear ft | Give the footage. 'Gutters cleaned' cannot be checked; '96 ft, 1st story' can, and it explains why a ranch house costs less than a colonial. |
| Gutter cleaning โ 2-story runs, 84 linear ft, ladder / roof access | per linear ft, upper-story rate | Put upper stories on their own line with the access method. Height and roof pitch are the main reasons two houses with similar footage get different prices. |
| Downspouts โ 6 flushed and flow-tested; 1 packed at the elbow, cleared | per downspout | Flushing a clear downspout and clearing a blocked one are different jobs. Count both, and say what you found. |
| Underground drain line โ back corner, jetted, flow partly restored (root intrusion likely, not guaranteed) | per drain or hourly | Buried drain lines can be crushed or full of roots. Bill the attempt and write down the result honestly โ no cleaning crew can promise a pipe they can't see. |
| Gutter guards โ mesh guards removed, gutters cleaned under, reinstalled, 60 linear ft | per linear ft surcharge | Guards add real time. A separate line also answers the customer who asks why they need cleaning at all when they paid for guards. |
| Roof valleys and flat sections โ debris cleared, 2 valleys | per area or flat | Leaves piled in roof valleys wash straight back into the gutter in the next rain. If you clear them, show it. |
| Minor repair โ 4 hangers re-secured, 1 leaking seam sealed (approved on site) | per repair + parts | Keep repairs off the cleaning line, list the parts, and note that the customer approved them. A surprise repair charge is the fastest way to lose a repeat customer. |
| Pre-existing conditions noted before work: sagging section (front, 12 ft), soft fascia (garage corner), rust hole (rear) โ before & after photos on file | record, $0 | The most useful $0 line on the ticket. It records damage you found but didn't cause, and the photos are the only proof of work the customer can't see from the ground. |
| Fall service plan โ visit 2 of 2, 11/14, HOA Building C, PO #2208 | per visit or prepaid plan | Plan and HOA customers pay by property and visit. Name the visit number and date so a missed or weather-delayed visit shows up, and carry the PO. |

How to invoice for gutter cleaning โ linear feet, downspouts, guards, and before/after photos โThe full guide โ rates, payment terms, deposits, and what to do when the invoice goes unpaid.
Either works if the invoice shows what the price covered. Per-linear-foot pricing is easy to check and fair across houses of different sizes; a flat price per house is simpler to quote over the phone. Many gutter cleaners use footage to build the price and then quote a flat number. Either way, split one-story runs from two- and three-story runs, write the footage on each line, and list downspouts, guards and debris removal separately. Rates vary by region and roof type, so build yours from your own time per foot, travel and insurance costs, and set a minimum job charge.
Yes. Flushing a clear downspout takes a minute; clearing one that's packed solid at an elbow can take far longer, and an underground drain line may need a jetter or may not clear at all if it's crushed or full of roots. Count the downspouts, say which ones were flushed and which were cleared, and bill underground drains as their own line with an honest note about the result.
Take photos before and after โ a few of each run, especially the worst sections and any downspout you cleared โ and attach them to the invoice or note that they're on file and available. Customers can't see inside their gutters from the ground, so photos are the clearest proof of the work. They also protect you if damage you found, like a sagging section or a rusted seam, is later blamed on your visit.
Write a short service agreement that sets the property, the number of visits, the timing (for example, one in spring and one after the leaves drop), what each visit includes and the price. Then either invoice each visit as it happens or take the year's price up front and list each visit on a receipt. Put the visit number and date on every invoice, and say what happens if a visit is moved for weather. For HOAs and property managers, name each building and carry their purchase order.
Interior and exterior cleaning crews bill the same way โ a count (rooms, panes, feet, square feet) with a stated minimum, add-ons as separate lines, and a note of what was already worn or damaged before the work started.
