A trucking invoice is unusual among trade invoices in two ways. First, you are almost always billing a broker rather than the company whose freight you moved, and that broker's accounts-payable team pays by matching your invoice to a rate confirmation they issued before the wheels turned. An invoice whose total, load number, or lane differs from the rate con by a dollar or a digit does not get queried โ€” it gets set aside. Second, the invoice is only one page of a packet: no broker releases payment without the signed bill of lading or proof of delivery behind it, and any accessorial you bill is paid against the receipt or the timestamp that proves it.

The money owner-operators lose is not on the linehaul โ€” that number was fixed on the rate con. It is on the lines that were never written: detention at a shipper that held the truck four hours, the lumper paid out of pocket at the receiver, the layover when the appointment moved a day, the truck ordered and then cancelled at the dock. Each is genuinely owed and documented on nobody's paperwork but yours, and each is quietly written off when the invoice only carries the load rate. This template puts the linehaul, the fuel surcharge, and every accessorial on separate lines so a broker's AP can match and pay each against the rate con and the packet.

How trucking & freight work is priced

Per load, at the flat rate on the rate confirmation, or per loaded mile plus a fuel surcharge indexed to the weekly DOE diesel price. Accessorials โ€” detention, layover, TONU, lumper, stop-off, driver assist โ€” are billed on top at the rates the rate con or the broker's carrier agreement states. Net 30 is the norm; quick pay is offered at a 2โ€“5% discount; factoring advances the invoice for a fee.

Trucking & Freight invoicing questions

What should a trucking invoice include?

Your carrier name, MC and DOT numbers, and remit-to address (or the factoring company's, if you factor); the broker or shipper's billing details; the invoice number and date; the load, PRO, or rate-confirmation number; the lane as origin and destination with the pickup and delivery dates; the linehaul at the rate-con figure; fuel surcharge as its own line; each accessorial โ€” detention with in-and-out times, lumper with receipt, layover, stop-offs, TONU, driver assist โ€” as separate lines; subtotal and total; and payment terms including any quick-pay option. Attach the signed BOL or POD and every receipt, because the invoice is paid against the packet, not on its own.

How is a fuel surcharge calculated?

Most brokers and shippers index it to the weekly U.S. DOE national or regional average diesel price. The rate con or carrier agreement sets a base price and an escalator โ€” commonly a cent-per-mile step for every 5 or 6 cents diesel rises above the base โ€” and the surcharge is that per-mile figure multiplied by loaded miles. Some contracts express it as a percentage of the linehaul instead. Either way, put it on its own line with the miles and the rate shown; a surcharge folded into the linehaul cannot be checked and will be disputed the week diesel moves.

Should I bill per load or per mile?

Bill whatever the rate confirmation says, because that is what the broker's AP will match against. Spot freight through brokers is usually a flat all-in rate per load; contract and dedicated freight is more often a per-mile rate plus a separate fuel surcharge. On a per-mile rate, state the miles and the basis โ€” practical miles from a named routing tool, or hub miles โ€” so the arithmetic can be followed. If the rate con is all-in, do not add a fuel surcharge on top; it is already inside the number.

Which accessorials can I charge on a freight invoice?

The ones the rate con or the broker's carrier agreement provides for, at the rates it states โ€” typically detention after two hours of free time at pickup and delivery, layover when an appointment moves you a day, truck ordered not used when a load is cancelled after dispatch, lumper fees paid at the dock, stop-offs on multi-stop loads, and driver assist for hand loading or unloading. Each needs its evidence: timestamps for detention, the receipt for a lumper, the cancellation notice for TONU. Accessorials billed without the paperwork, or outside the broker's claim window, are the ones that never get paid.
